How we think about it

Built on your real calls, not a demo script.

The transcript is the specification.

A voice agent earns its place on the calls nobody enjoys: the booking, the opening hours, the where-is-my-order at 8pm. It has to handle interruptions gracefully, survive an accent and a bad line, and hand over to a person the moment it is out of its depth.

So we start from your actual call recordings. They tell us what people really ask, how they phrase it, and where things go wrong. The agent is built and tested against those, not against a script written to look good in a demo.

Calls it hands off land in the same CRM your email and automation already run on, so a missed call becomes a follow-up instead of a lost lead.

What it covers

A day on your phone line

An example of what the agent handles between opening and close, and after.

  1. “Are you open on Saturday?”

Answered on the first ring with your real hours, before anyone is in the building.

    Inbound call handling
  2. Yesterday's web enquiries get a call back

Every form fill is called within the hour, qualified and booked, at a volume a small team cannot staff.

    Outbound calling
  3. Tomorrow's appointments, confirmed

Each one called, confirmed, or moved to a free slot. The no-show call gets made reliably, not when someone has time.

    Appointment confirmations
  4. A caller switches to Spanish halfway through

The agent follows without a transfer. English, Spanish, French, German, Arabic and more.

    Multilingual voice
  5. A billing complaint goes to a person

The agent recognises it shouldn't handle this, transfers to your on-call number, and passes along a summary so the caller never repeats themselves.

    Escalation to a human
  6. A late-night booking

Booked into the calendar, confirmation text sent. Your team sees it in the morning.

Nobody gets trapped in a loop

You decide where the line sits. These are the defaults we start from.

The agent handles

  • Bookings, changes and cancellations
  • Opening hours, directions, prices you've published
  • Order and appointment status
  • Reminders, confirmations and lead follow-up
  • Taking a detailed message when your team is away

A person takes over when

  • The caller asks for one, at any point
  • It's a complaint, a refund, or money owed
  • It's urgent: medical, safety or legal
  • The agent is unsure twice in a row
  • The caller sounds distressed or frustrated

Process

How a project runs

No account-manager relay. The lead on your project is someone who builds, and they stay on it from the first call to the last deploy.

  1. 1

    Scope

A week of hard questions and your call recordings. We map what the agent should handle and say plainly what it shouldn't.

  2. 2

    Prototype

A working agent on a test number, early. You call it yourself and tell us what feels wrong.

  3. 3

    Build

Two-week cycles with a demo at the end of each. You hear progress, not status reports.

  4. 4

    Hand over

Documentation, a walkthrough and the keys. Ongoing tuning if you want it, never as a hostage.

Will callers know they're talking to an AI?

We recommend the agent says so at the start of the call, and in some places that's required. In practice, callers care most that someone picked up and the booking worked.

What happens when it doesn't know the answer?

It follows the handover rules you agree with us: transfer to a person with a summary, or take a detailed message and log it in your CRM. In the first weeks we review calls with you and fix the gaps they reveal.

Can it use our existing phone number?

Yes. You can forward every call, only after-hours calls, or only the ones your team doesn't pick up. Nothing changes for your customers.

How is pricing structured?

A fixed-fee discovery comes first and ends in a written scope and a real budget. After that, there's a one-off build cost and a monthly running cost based on call volume. You get the numbers before you commit to anything.

What about call recording and consent rules?

We configure recording disclosures and handle consent for outbound calls, such as TCPA rules in the US and GDPR for European callers. We'll flag what applies to you, but your own legal adviser should confirm it for your business.

How long until it's answering calls?

A focused agent for one job, like bookings, is usually live a few weeks after scoping. Wider agents that connect several systems take longer, and we'll tell you how long before you start.

Tell us the awkward version first.

The half-formed idea, the deadline that doesn't work, the budget you're not sure is enough. We'd rather hear that than a polished brief. It's the fastest way to know whether we're the right studio.
